Attendance Policy

This policy outlines the expectations, procedures, and consequences related to the attendance of both students and instructors across various modes of course delivery modes.

This policy details the expectations, procedures, and consequences concerning attendance for both students and instructors across different course delivery modes, including Live sessions, Face-to-Face sessions, and Recorded Video sessions. It aims to uphold high educational standards and ensure that all participants, whether students or instructors, meet the responsibilities necessary for a successful learning experience. This policy is applicable to all students enrolled in courses offered on the TRAIVIS platform, as well as to freelance instructors who deliver courses through the TRAIVIS platform.

Student Attendance Requirements

TRAIVIS emphasises the importance of regular attendance as a critical factor in achieving educational success. Students are expected to attend at least 85% of the course content to be eligible for graduation from the course. However, the final decision regarding a student’s successful completion of the course rests with the instructor. Instructors have the discretion to pass students who do not meet the 85% attendance requirement, based on their overall assessment of the student's performance and participation.

Attendance Monitoring and Tracking

The attendance of students is monitored and recorded differently based on the mode of course delivery:

Live Sessions:

  • TRAIVIS utilises a sophisticated tracking algorithm to monitor student attendance during live sessions. The system automatically logs the time when students enter and exit the session.

  • Instructors are granted the authority to adjust attendance records to correct any discrepancies. Any modifications must be made promptly after the session concludes and should be accompanied by a justification, especially in cases where significant changes are made.

  • Students who are unable to attend a live session must notify the instructor at least 48 hours in advance. In cases where prior notification is not possible, students must provide a valid reason within 24 hours after the session to avoid any penalties.

Face-to-Face (F2F) Sessions:

  • In the absence of an automated tracking system for F2F sessions, instructors are responsible for manually recording student attendance. It is imperative that instructors ensure the accuracy and completeness of these records.

  • TRAIVIS will automatically record all students as present within 24 hours of the session start time as set by the instructor during course creation. Instructors can modify these records to accurately reflect actual attendance. Students have the right to request a review of their attendance records if they suspect any discrepancies.

Recorded Video Sessions:

  • Attendance for recorded video sessions is automatically recorded as soon as a student clicks on the session tab within the course. However, TRAIVIS does not track the duration of the student’s engagement with the video or whether they watched the video in its entirety.

Instructor Attendance Requirements

General Expectations

  • Instructors are required to attend and deliver all scheduled sessions as planned. Consistent and punctual attendance by instructors is essential to maintaining the integrity of the educational experience on the TRAIVIS platform.

  • Instructors who anticipate being unable to attend a scheduled session must notify their students at least 48 hours in advance. They are also responsible for arranging an alternative session to ensure that students do not miss out on any instructional content.

  • In cases where an instructor is absent without prior notice, they are obligated to compensate the students with a replacement session.

Monitoring Instructor Attendance

Instructor attendance is monitored as follows:

  • Face-to-Face (F2F) Sessions: Instructors are required to log their attendance for each F2F session via the TRAIVIS platform. This log must be accurate and reflect the actual time of session delivery.

  • Live Sessions: TRAIVIS employs a tracking algorithm to monitor instructor attendance during live sessions. The system logs the times when the instructor enters and exits the session. In contrast to students, instructors do not have the authority to modify their attendance records.

TRAIVIS will conduct random audits of instructor attendance records to ensure compliance with this policy. Instructors found to have frequent unexcused absences or who fail to notify students of their absence in a timely manner may face disciplinary actions, including removal from the platform.

TRAIVIS encourages students to report any instances of instructor absenteeism, and such feedback will be considered during the audit process.

Student Refunds Due to Instructor Absence

Students may be eligible for refunds under the following circumstances:

  • Students may be entitled to request a refund if an instructor fails to attend a scheduled session without prior notice and does not arrange a suitable alternative session.

  • If an instructor misses more than three sessions within a single course without providing proper notification, students may request a partial refund proportional to the number of missed sessions. TRAIVIS will evaluate such requests based on its Refund Policy.

4. Consequences of Non-Compliance

For Students

  • Failure to meet the attendance requirements may result in the student failing the course, not graduating, or not receiving an attendance certificate. However, instructors retain the final decision on student graduation, and they may override this consequence if they believe the student’s overall performance justifies graduation despite insufficient attendance.

  • If a student submits a refund request, their attendance record will be reviewed. A low attendance rate may be grounds for denying the refund request, in accordance with the conditions outlined in the Refund Policy.

For Instructors

  • Repeated unexcused absences or failure to comply with attendance requirements may lead to termination of the instructor’s account on the TRAIVIS platform. TRAIVIS reserves the right to remove any instructor who does not adhere to this policy. In cases of instructor non-compliance, TRAIVIS may assume responsibility for refunding the course fees to students, even without a formal request from the students or the instructor’s approval.

In the event of a dispute between users, TRAIVIS reserves the right to review all correspondence that occurs on the TRAIVIS platform. Any communication that takes place outside the platform will not be considered as evidence. Therefore, it is imperative that all relevant communication is conducted within the TRAIVIS platform to ensure compliance with this policy.
